What the Annual Program Includes
Scheduled Annual Inspection
Whole-property termite inspection on a fixed annual schedule. We contact you to coordinate — you don't have to track or request it. All accessible structures, common areas, and units included.
Compliance Documentation
Written inspection report clearly identifying Section 1 (active infestation requiring treatment) and Section 2 (conducive conditions) findings. Board-ready format for insurance, reserve studies, and fiduciary documentation.
Priority Treatment Scheduling
When treatment is needed, enrolled program properties receive priority scheduling — ahead of one-time inspection customers. We aim for treatment within 5–7 business days of inspection findings for program clients.
Dedicated Account Contact
A named contact at Ultimate Termite for your property account — not a rotating call center. Your contact knows your property's history, prior treatments, and documentation requirements.
Who the Program Is Designed For
HOA Boards with Fiduciary Obligations
California's Davis-Stirling Act requires HOA boards to maintain common area structural elements. An annual termite program creates the documented maintenance record that demonstrates due diligence and helps boards manage reserve fund planning for treatment costs.
Property Management Companies with Multiple Properties
Managing termite compliance across dozens of properties is complex. Our program assigns a single account contact, coordinates all inspection scheduling across your portfolio, and delivers consistent documentation for each property.
Condo Complexes with Recurring Drywood Pressure
Southern California drywood termites are persistent — a fumigation doesn't prevent re-infestation from outside. Annual inspections catch new infestations before they require whole-building fumigation, protecting residents and reducing treatment costs.
Master-Insured HOA Properties
Many master insurance policies for HOA common areas require documented pest control maintenance. Our program provides the inspection records and treatment documentation needed to satisfy insurance requirements and support claims when structural damage is discovered.
How It Works
Initial Property Assessment
We start with a full baseline inspection of your entire property — all buildings, common areas, and accessible units. This establishes the starting condition, identifies any existing infestations, and sets the foundation for your ongoing program documentation.
Program Proposal and Agreement
Based on property size, number of units, and findings from the baseline inspection, we provide a written program proposal with annual pricing. Program agreements are typically 1–3 year terms with renewal options.
Annual Scheduled Inspections
On the agreed schedule, we contact your property management contact to coordinate the annual inspection. We handle the scheduling logistics — unit notification coordination, common area access, and completion documentation.
Board Report Delivery
Within 2 business days of inspection completion, we deliver a written board-ready report. The report follows the California WDO report format: Section 1 findings requiring treatment, Section 2 conditions to monitor, and recommendations for each.
Priority Treatment Coordination
When treatment is needed, we prioritize your property. You receive treatment proposals with program pricing and a timeline. We coordinate resident/tenant notification as required and provide post-treatment clearance documentation.
Program FAQ
What is an HOA annual termite management program?
An HOA annual termite management program is a structured, recurring service agreement for scheduled whole-property inspections, compliance documentation, and priority treatment scheduling. It replaces reactive, ad hoc termite treatment with a proactive maintenance approach that protects property values and satisfies board fiduciary obligations.
Does California law require HOAs to maintain termite inspections?
California's Davis-Stirling Act requires HOA boards to maintain common area components, which includes the building structure. Many HOA CC&Rs and master insurance policies require documented pest control maintenance. An annual program creates a documented maintenance record that demonstrates due diligence and supports fiduciary obligations.
What's included in the annual program pricing?
Program pricing depends on property size, number of units, and number of buildings. It typically includes: annual whole-property inspection, written inspection report, board-ready documentation package, priority scheduling for required treatments, and discounted treatment rates. Treatment costs are separate from the inspection program fee. Contact us for a custom proposal.
Can the program be customized for our specific property?
Yes. We build each program around your property's specific needs — number of buildings, unit count, prior treatment history, insurance requirements, and inspection frequency. Contact us to discuss a proposal tailored to your community.
